How Digital Adept works, from your first audit to client reports and the client portal. Signed in, you can also ask the help assistant, or contact us at support@digitaladept.io.

What Digital Adept does

Digital Adept is SEO reporting software for agencies. For every client website it brings together a technical audit, Google Search Console data, Google Analytics results, Google Business Profile results, tracked keywords, visibility in AI assistants, and a task list, then sends white-label reports under the agency's own brand. Clients can sign in to a portal under the agency's brand to see progress and approve changes.

The overview

Overview is the first page after signing in. It shows your open tasks, how many websites you look after, their average SEO score, and the websites that need attention (a score under 70), worst first: open one to see why. Below that, how much of your plan's monthly allowances you've used (websites, AI page fixes, AI articles, tracked keywords, prospect audits and team seats). Allowances start again each month.

Starting a free trial

Choose "Start free trial", enter your agency's name and your work email. We email you a sign-in link and a 6-digit code: use either. We then offer to set up an authenticator app (Google Authenticator, Microsoft Authenticator, 1Password and the like): scan the QR code and save the backup codes it shows, or choose "Skip for now". The trial lasts 7 days, includes everything in the Growth plan, and needs no card. When it ends your data is kept: choose a plan to carry on.

During the trial we email the account holder a few times: a welcome with the first things to do, what your first audit found, a reminder two days before the trial ends, and, if it ends without a plan, that your data is kept. They stop as soon as you choose a plan.

Signing in

There are no passwords. Enter your email and we send a sign-in link and a 6-digit code, each working once for 15 minutes; use the link on this device or type the code. If you've turned on an authenticator app, enter its 6-digit code too. We recommend it: it stops anyone who gets into your email from getting into your agency's account. Until it's on, we offer it each time you sign in; you can also turn it on in Settings, Your account.

  • Lost your phone? Use one of your backup codes instead (each works once). Make new ones in Settings, Your account.
  • Lost your phone and your backup codes? Your agency's account holder can ask us to reset your authenticator; you can set it up again at your next sign-in.
  • After 10 wrong authenticator codes in a row, codes aren't accepted for an hour, and we email you.
  • "Sign out everywhere" in Settings, Your account signs you out on every device.

Your team and roles

Each agency has one account holder and team members. The account holder looks after billing, branding, integrations, the lead widget, the report address and the team; team members do the client work (audits, reports, tasks, content). Invite colleagues in Settings, Team: they get an email link, then are offered their own authenticator. Your plan sets how many team seats you have. The account holder can make someone else the account holder, or remove people.

Clients and websites

Add a client under Clients, then their website, with its main keyword if there is one. The first audit starts straight away. A client can have several websites: on Clients, "+ Add a website" on the client's card (or open the client) adds another. Each website has tabs: Audit, Search, Keywords, Opportunities, AI search, Local, Tasks, Content, History, Competitors and Settings.

Websites are checked again automatically (weekly or daily, by plan) while "check this website automatically" is ticked in its Settings. If a check finds the score has fallen or new serious problems, or a big drop in visits from Google, your team gets an email alert.

A website's Settings also hold its main keyword and other names the business goes by.

Audits and the SEO score

An audit crawls the website and runs more than 45 checks: titles and descriptions, headings, broken links, redirects, indexing (noindex, robots.txt, canonical tags), sitemaps, orphan pages, structured data, images, HTTPS and mobile friendliness. It also measures page speed and Core Web Vitals (from Google's PageSpeed Insights). Each problem shows how serious it is, how many pages it affects, examples, and a plain-English fix. The SEO score is out of 100.

  • "Crawl again" re-checks now. History shows the score over time; open an audit to see it in full.
  • AI fixes write new titles, meta descriptions and headings for pages that need them, from the page's own text (they count towards your plan's monthly AI fixes).
  • Download the audit as a white-label PDF.
  • Some pages are short on purpose: a contact page, a cookies or accessibility notice. Open the page in the audit's page list and choose "Short on purpose": from the next crawl it isn't judged on length, and every other page still is. The website's Settings tab lists them, to undo.

Competitors

On a website's Competitors tab, add competitors' websites (your plan sets how many per website), to compare their scores with your client's and see what they do better. Competitors also appear in client reports.

Competitors' positions on Google: on the Keywords tab, each tracked keyword shows where each competitor ranks on the same Google results (in red where they're above your client), and how many keywords your client leads on. Up to three appear beside each keyword in reports.

Keyword gap

On the Competitors tab, "Find the gap" beside a competitor lists the searches it ranks for on Google (UK) and your client's website doesn't, most searched first, with how hard each is to rank for and the competitor's position. Track a keyword or start a content brief from it in one click. Each check counts against your plan's monthly keyword gap checks; "Check again" refreshes it.

Google Search Console and Analytics

The account holder connects Google once in Settings, Integrations. Then link each website to its Search Console property (Search tab) and, optionally, its Google Analytics 4 property.

  • Search tab: visits from Google (clicks), how often the site was seen (impressions), click rate, average position, top searches and top pages, against the period before.
  • Results from Google search: visits, engaged visits, key actions (enquiries, sales, sign-ups: whatever the client counts in Analytics) and revenue from organic search.
  • If Google was connected before Analytics or Business Profile were added, reconnect it in Settings, Integrations to allow them.

Search Console data runs about two days behind. Google access is read-only, except replying to Business Profile reviews, and the account holder can disconnect it at any time.

Keywords and opportunities

Keywords: track the searches that matter (your plan sets how many). Each tracked keyword's position on Google is checked automatically (daily on Growth and Agency, weekly on Starter), searching from the website's place and on its device: "Google today" is where it ranks now, with the change over the last 7 days, its best, the page that ranks and a trend. Set the place (a town, city or county, or the whole UK) and desktop or mobile with "Change" at the top of the Keywords tab. Not in the top 100 means Google didn't show the website in its first 100 results. When a keyword drops out of the top 10 your team gets an email, and the positions go into client reports. Positions come from Search Console, with the change on the period before and a trend line. Ideas suggests searches the site already shows up for.

Opportunities finds quick wins in Search Console data: searches where a page is almost on page one, and pages that are seen but rarely clicked, with an estimate of the extra clicks. "Losing clicks" lists pages that have dropped. Opportunities can become tasks. AI suggestions rewrite a page's title, description and heading and suggest content to add, from the searches it already appears for.

AI search visibility

The AI search tab shows whether AI assistants (Claude (own knowledge)) name the client's business when people ask them the questions its customers ask.

  • Add the questions to track (one per line), or "Suggest questions with AI".
  • Each question is asked of each assistant every week; "Check now" asks again (at most once an hour). Answers are matched against the client's name, other names it goes by (website Settings) and its domain.
  • For each answer: whether the business is named, where it comes among the businesses named, whether its website is cited as a source, and which competitors are named instead.
  • The share of answers naming the business is tracked week by week and shown in reports.

Google Business Profile (Local)

The Local tab shows the client's Google Business Profile: calls, direction requests, website clicks, and views on Google Search and Maps, against the period before, plus reviews. Link the profile once (it must be managed by the connected Google account). Reply to reviews from here. "Draft a reply with AI" writes one for you to edit. Replies are public on Google, so check them before posting. These figures also appear in client reports.

Content briefs and articles

Content (on a website): a content brief plans a page for a search. It gives the search intent, audience, a title, meta description and heading, a target length, an outline with the points to cover, questions to answer, related terms, and links to the website's own pages (only pages the audit found, so they're real). It uses the searches the site already appears for in Search Console. Give an existing page's address to improve that page instead of planning a new one. Copy a brief as Markdown to send to a writer, or "Write the article" to have AI draft it to the brief. Articles are drafts: always check facts before publishing. Briefs and articles count towards your plan's monthly allowances, even if you delete them.

Tasks

Every problem the audit finds becomes a task, and you can add your own or turn opportunities into tasks. Move tasks through To do, In progress and Done, assign them to a team member, set a due date and priority. When a later audit finds an audit problem fixed, its task closes itself, marked "confirmed by a crawl". Finished work appears in client reports. Tasks, in the menu, shows every client's tasks in one place.

With the client portal, you can ask the client to approve a task before you do it ("Ask the client to approve" when you open the task). The client approves it or asks for changes in their portal, and your team gets an email with their answer.

Client reports

Make a report from a client's page for a period (the last month by default). It includes the SEO score and what was fixed, keywords, visits from Google, Analytics results, Business Profile results, AI search visibility, work completed, next priorities and competitors, with a summary written by AI from the figures (or a plain summary without AI). Share it by link, download the PDF, or email it to the client's report addresses. Reports can be emailed automatically every week or month (Growth and Agency plans). Deleting a report turns off its link.

White-label branding

Settings, Agency & branding: your agency's name, brand colour, logo (PNG or JPEG under 300 KB) and the address clients reply to. Reports, PDFs, shared links, report emails, the client portal and prospect audits carry only your brand.

Your own report address (Growth and Agency plans): use an address on your own website, like reports.youragency.com, so clients only ever see your brand. 1. Choose a subdomain you don't use for anything else (not youragency.com or www). 2. Enter it in Settings, Agency & branding, and save. We show one CNAME record. 3. Add the record where your domain's DNS is managed: usually where you bought the domain (GoDaddy, 123 Reg, IONOS, Namecheap), or Cloudflare. The name is the first part (reports); if your provider asks for the full name, use reports.youragency.com. Leave the TTL as it is. 4. Press "Check now". New records usually appear within minutes, but can take up to an hour.

If it won't connect: on Cloudflare, set the record to "DNS only" (the grey cloud, not the orange one); delete any other record with the same name; check the record points to exactly the address we show. Once connected, client links, emails and the portal use your address, secured with HTTPS automatically. Links already sent keep working.

The client portal

Growth and Agency plans. On a client's page, invite people at the client by email. They sign in to a portal under your brand (on your own report address if you have one) with an emailed code (and an authenticator app if they turn one on), like everyone. They see their website's score and its history, visits from Google, how often AI assistants name them, work in progress and done, their reports, and changes waiting for their approval. They see nothing else of your agency. Use "Preview" to see exactly what they see. Remove someone's access from the client's page at any time. Client portal accounts don't use team seats.

Prospect audits and the lead widget

Prospect audits: audit any website to win new business, then send the prospect a branded link to the results.

The lead widget puts a "free SEO score" form on your own website (Settings, Lead widget: copy the snippet into your site). Visitors get an instant branded audit; you get the lead in Leads, by email, with their audit. Mark leads contacted, won or lost. Each lead's audit uses one of your plan's monthly prospect audits.

Billing

The account holder chooses a plan in Settings, Plan & billing, paying monthly or yearly (two months free), by card through Stripe. "Manage billing" opens Stripe's billing portal to change plan, update the card, download invoices or cancel. If a payment fails we show a reminder and Stripe tries again; update the card to avoid interruption. When a subscription ends or the trial runs out, your data is kept and you can choose a plan to carry on. Prices are in pounds.

Account, data and privacy

Digital Adept is run by Cloud Adept Limited in the UK. Your data is stored in the UK (AWS, London), encrypted, and backed up every night, with a copy in a second region. AI features use Claude on Amazon Bedrock with zero data retention: what we send isn't stored or used to train models. The help assistant sees only this guide, the page you're on and your questions, never your account, clients or data. Google access is read-only except replying to Business Profile reviews, and can be disconnected at any time (Settings, Integrations). The account holder can close the agency's account from Settings (cancel the subscription first), which deletes everything.

Getting help

Every page of the app has a Help button with the topics for that page. Ask the help assistant (Help, in the menu) about using Digital Adept. For anything it can't answer, an account or billing problem, or a fault, contact support from the Help page or email support@digitaladept.io, and a person will reply.
